Position Overview
AKIVA is seeking a professional and personable Receptionist to serve as the first point of contact at a public sector client site in New York’s Capital District. You will manage the front desk, greet visitors, handle incoming calls, and ensure smooth day-to-day office operations. As an AKIVA team member, you will be equipped with AI-powered tools for smart scheduling, automated visitor notifications, and intelligent call routing assistance. Full training is provided.

Key Responsibilities
• Greet and direct visitors, vendors, and staff in a professional manner
• Operate multi-line phone system, route calls, and take messages
• Manage visitor sign-in/sign-out procedures and security protocols
• Schedule and coordinate meeting rooms and conference spaces
• Sort and distribute incoming mail, packages, and deliveries
• Maintain a clean, organized, and welcoming reception area
• Provide general administrative support as needed (filing, copying, data entry)
• Use AI-powered scheduling and communication tools to manage calendars and visitor management efficiently


Required Qualifications
• 6–12 months of front desk, reception, or customer service experience
• Professional appearance and demeanor
• Strong verbal communication and interpersonal skills
• Proficiency in Microsoft Office Suite (Word, Outlook, Excel)
• Ability to manage multiple tasks while maintaining composure
• Punctuality and reliability are essential
• Must pass background check and drug screening
• Valid work authorization required


Preferred Qualifications
• Experience in a government or public sector reception role
• Familiarity with visitor management systems
• Bilingual skills (English/Spanish) are a plus
• Experience with scheduling and calendar management tools
