Position Overview

AKIVA is seeking an Onboarding and Credentialing Coordinator to own the end-to-end process of moving a selected candidate from offer acceptance to first-day-on-site. This role is mission-critical to meeting contractual response and placement service levels by ensuring every candidate is cleared, badged, equipped, and oriented on time, every time. AKIVA equips this role with AI-powered document classification and workflow automation tools that shorten time-to-start and reduce manual compliance work.


Key Responsibilities

•       Manage all pre-placement activities: offer letters, I-9 verification, E-Verify, W-4, direct deposit, and AKIVA new-hire documentation

•       Coordinate background investigations, Live Scan fingerprinting, drug screens, reference checks, education and license verifications, and DMV pulls as required by the role

•       Manage client-specific credentialing requirements, including department-specific access requests, confidentiality agreements, and IT account provisioning

•       Deliver AKIVA new-hire orientation covering conduct standards, safety, harassment prevention, timekeeping, and worksite-specific expectations

•       Coordinate issuance of client badges, equipment, and system access with the appropriate client department liaisons

•       Maintain the candidate status pipeline, and escalate any clearance or onboarding delays to the Account Manager within the same business day

•       Ensure all onboarding files and compliance artifacts are complete, audit-ready, and retained per federal, California, and client record retention requirements

•       Continuously refine the onboarding playbook to reduce time-to-start and improve candidate experience

•       Partner with the Compliance and Payroll Specialist to reconcile candidate clearances to payroll activation dates


Required Qualifications

•       3 to 6 years of onboarding, credentialing, or HR coordination experience in a high-volume staffing, healthcare, or government environment

•       Working knowledge of California employment law, I-9 and E-Verify procedures, Fair Credit Reporting Act (FCRA), and Live Scan requirements

•       Experience with applicant tracking, onboarding, and background check platforms (for example Bullhorn, iCIMS, Checkr, Accurate, HireRight)

•       Exceptional organizational skills, attention to detail, and ability to manage 20 or more concurrent candidate files

•       Strong written and verbal communication skills; comfort interacting with candidates, client liaisons, and vendors

•       Must be authorized to work in the United States


Preferred Qualifications

•       Associate's or Bachelor's degree

•       PHR, SHRM-CP, or equivalent HR certification

•       Experience with public-sector or municipal client onboarding (CalPERS-reporting, local government badge issuance, DMV clearances)

•       Prior experience supporting temporary staffing contracts with strict response and placement SLAs
